Eventboard is an event management platform operated by WML IT Solutions, Hyderabad (“we”).
Two roles
- For organisations' events, we are a data processor. Organisations (companies, government departments and others) use Eventboard to invite people, register attendees, send messages, run entry at the venue and issue certificates. Each organisation decides what data it collects and why. It is the data fiduciary, and its own privacy notice applies. We process that data only on its instructions, keep it separate from every other organisation's, and do not use it for any purpose of our own.
- For our own users and this website, we are the data fiduciary. That covers the accounts of the people who use the admin portal (organisations' teams), and visitors to eventboard.in.
What we collect as fiduciary
- Team accounts: name, email address, mobile number, password (stored only as a one-way hash), the devices you sign in on, and a record of the actions you take in the portal.
- Website visitors: the pages served and technical logs (IP address, browser). We use no advertising or analytics trackers.
- People who ask for a demo: what you give us in the demo request form (your name, email address, phone number, organisation, role and details of your event), used only to reply to you.
Why
To provide and secure the service: to let you sign in, to keep each organisation's data separate, to investigate misuse, and to contact you about your account.
Who else handles data
- Hosting: our hosting provider, in India.
- Email: Amazon Web Services (SES, Mumbai region).
- WhatsApp: Gupshup and Meta.
- SMS: MSG91, through operators registered on the TRAI DLT platform.
Security
The safeguards we use include:
- encryption in transit;
- access limited by role and by event;
- private links that cannot be guessed;
- one-way hashed passwords;
- logs of sign-ins and changes.
If a breach affects personal data, we tell the organisations concerned without delay, so that they can inform the Data Protection Board and the people affected as the law requires.
How long we keep it
- Team accounts: while they are active, and 12 months after.
- Logs: 90 days.
- Organisations' event data: as each organisation directs, and deleted when it leaves Eventboard.
Your rights and grievances
Write to us at [email protected] with any question or complaint about your personal data. If your question is about an event, we pass it to the organisation that ran it and help it answer. You may also complain to the Data Protection Board of India.
